VENDOR REQUIREMENTS & GENERAL INFORMATION
About Being an Event Vendor
Dear Vendor Applicants,
Thank you for your interest in our 2023 Annual Community Picnic & Resource Fair! We are excited to get to know you and your services and products to make this a fun, resourceful event for our community together!
At this time, the Las Vegas Okinawan Club is accepting applications for craft vendors, information vendors, resale vendors. BBQ food purchase will be available at the picnic, and we are not seeking food/food truck vendors.
Vendor booth spaces are limited and vary by event. All vendors are required to complete the Vendor Application Form (https://forms.gle/auvn9uYofYYsSzMaA) prior to approval being confirmed. All applications are processed as first-come, first-serve.
All Vendors MUST review the Vendor Requirements & General Guidelines VENDOR REQUIREMENTS & GENERAL INFORMATION .
After you submit your registration, a representative will be in touch to verify your information and confirm your registration fee. Las Vegas Okinawan Club may deny a Vendor’s registration if another Vendor of very similar characteristics has already registered or if the services or products do not meet the purpose of the event or mission of the Las Vegas Okinawan club.
General Information & Vendor Guidelines
LOCATION, DATE & TIME:
- Craig Ranch Regional Park (Village Lodge #1)
- Address: 628 W. Craig Rd, North Las Vegas, NV 89032
- May 13, 2023 12 pm - 3 pm
REGISTRATION:
- Registrations will be performed using Google Form (https://forms.gle/AYv9Zwfi2jHxbjAs5)
- After registration is submitted, Vendors will be contacted by a representative from LVOC to confirm all information.
- Fees must be collected between May 1 - May 10 at a separate website. We will send you the link.
- Registration fee of $30 grants a Vendor one 10’x10’ spot for a booth at the Resource Fair. No supplies, services, and utilities are otherwise provided, including but not limited to: tables, chairs, electricity, Wi-Fi, etc.
CHECK-IN & SET-UP:
● Onsite check-in on May 13 begins at 10:30 am.
EVENT:
● Vendors are prohibited from selling all canned or bottled or poured beverages, including water, WITHOUT the explicit approval from the Las Vegas Okinawan Club to do so. Beverage sales will incur an additional registration fee.
● Vendors shall bring their own equipment, including: a pop-up tent no larger than 10’x10’, tables, chairs, hand sanitizer, disposable gloves, etc as needed.
● Each participating Vendor shall provide an item or gift certificate (valued $15 or more) to be used as a raffle prize.
● Vendors are responsible for their own transactions, including but not limited to: cash handling, sales tax, etc.
TEAR-DOWN:
● Vendors shall not commence tear-down, including packing up of items, prior to 2:30.
● Vendors shall take all their trash to the dumpsters.
HEALTH & SAFETY:
● Vendors shall abide by all CDC, State, and Local current mandates for COVID-19.
EVENT PUBLICITY:
● Vendors shall be responsible for their own advertising and publicity, and not be solely dependent upon Las Vegas Okinawan Club as a source of advertising. The Las Vegas Okinawan Club encourages Vendors to inform their customer base of the upcoming event.
- Vendor may begin setup from 10:30 am
- Las Vegas Okinawan Club will not be responsible for any merchandise left on the tables at any time.
- Any merchandise to be sold from the table must be approved in advance by Las Vegas Okinawan Club. Any exhibitor caught selling unauthorized merchandise will be subject to forfeiture of their vendor space with no refund of the vendor fee.
- Table location will be provided prior to the event.
- Games of chance or machines costing to play WILL NOT be allowed.
- Vendors who do not show up after requesting a table will not be approved for future events.
Vendor Cancellations:
- We request if you need to cancel less that one (1) week before the event—please let us know as soon as possible.
- Cancellation less than one (1) week before the event will result in forfeiture of the rental fee
